Part-Time Project Manager / Operations Coordinator
Position: Part-Time Employee / 15 - 25 hours per week
Job Description:
We are seeking a detail-driven and highly organized Project Manager / Operations Coordinator to join our growing team. This position will begin on a part-time basis with the opportunity to expand into a full-time role as our studio and project portfolio continue to grow.
Position Overview
The Project Manager will guide projects from initial concept through installation, ensuring that the design vision is executed seamlessly while maintaining timelines and budgets. This role requires outstanding organizational abilities, proactive foresight, and calm, solutions-oriented leadership. The ideal candidate communicates clearly and diplomatically, anticipates challenges before they surface, and excels at building and managing efficient systems. We’re looking for a self-starter who is willing to roll up their sleeves and does not feel too good to do the small, less glamorous parts of the job. The majority of the role will take place in our Seattle Studio. Some travel (to clients, vendors, stores and tradeshows) is also part of the role.
Please note: This is not a design position, and we are prioritizing applicants with previous field experience in project management, construction coordination, or operations.
Key Responsibilities:
Manage the day-to-day flow of multiple design projects across various locations nationwide.
Be the onsite point of contact in our Seattle Studio during most business hours and days.
Develop, maintain, and monitor project schedules, budgets, and deliverables with precision.
Serve as the primary point of coordination between the design team, contractors, vendors, and fabricators.
Anticipate potential challenges weeks in advance and proactively problem-solve.
Prepare and maintain project documentation, progress reports, and internal communication summaries.
Communicate with clients, vendors, and partners professionally and constructively, focusing on clarity and solutions.
Uphold design intent and quality standards through every stage of execution.
Lead or support client meetings and presentations with professionalism and confidence.
Build contingency planning into each phase of project management to ensure consistent progress.
Support operational and administrative systems to streamline studio workflow and efficiency.
Minimum Requirements:
Experience:
Minimum 2+ years of experience in interior design, construction, or architectural project management preferred.
Skills:
PMI Certification or equivalent credential a plus.
Familiarity with design process, construction administration, and FF&E procurement required.
Strong organizational and multitasking skills, with the ability to manage complex schedules and priorities.
Proactive, forward-thinking mindset with strong attention to detail and a sense of urgency.
Excellent verbal and written communication skills; comfortable in client-facing roles.
Proficiency in project management and design tools, including Gantt charts, Asana, Slack, Google Workspace, Adobe Creative Suite, and Studio Designer; AutoCAD experience a plus.
Qualities:
Detail-oriented, dependable, and resourceful.
Discreet with sensitive information and able to maintain confidentiality.
A collaborative and adaptable team player.
Education:
Bachelor’s degree or equivalent work experience preferred.
Software Requirements:
MacOS system
Google Drive (Cloud-based file hosting and documents)
Experience with an interior design purchasing and invoicing platform or quickbooks, preferably Studio Designer, is a plus
Additional Requirements:
Must be local to Seattle with the ability to work within the office, this position is not remote
Flexibility to work occasional evenings or weekends as needed to meet project deadlines.
Valid driver’s license and reliable transportation for running errands and attending meetings.
Compensation:
Hourly rate commensurate with experience. This is a contract position with potential to become long term.
